Conflict of Interest Policy

Rocky Spikes Volleyball Club (RSVC) is committed to honesty, transparency, and fairness in all club decisions. This policy helps prevent conflicts of interest and ensures that club decisions are made in the best interests of athletes and the club.

PURPOSE

This policy identifies situations where a conflict of interest may arise and sets out expectations for disclosure, management, and resolution of actual, potential, or perceived conflicts.

WHO THIS POLICY APPLIES TO

This policy applies to all RSVC directors, officers, committee members, staff, coaches, volunteers, and anyone acting on behalf of the club.

WHAT IS A CONFLICT OF INTEREST?

A conflict of interest occurs when a person’s private interests could improperly influence, or be seen to influence, their decisions or actions made on behalf of RSVC. Conflicts can be actual, potential, or perceived.

EXAMPLES OF CONFLICTS

Conflicts may include, but are not limited to:

  • Personal financial benefit
  • Employment or business relationships
  • Coaching or working with a family member
  • Favouritism toward a participant
  • Use of club resources for personal gain
  • Any situation that could compromise impartial decision-making

DISCLOSURE OBLIGATION

Individuals must disclose any actual, potential, or perceived conflict of interest as soon as they become aware of it by completing a Conflict of Interest Disclosure Form and submitting it to the Board or designated club leader.

MANAGEMENT OF CONFLICTS

Once a conflict is disclosed, RSVC will determine the appropriate way to manage it. Management strategies may include:

  • Removing the individual from the decision-making process
  • Limiting their involvement
  • Reassigning duties
  • Any other action appropriate to the circumstances

CONFIDENTIALITY

Disclosures will be kept confidential to the extent necessary to manage the conflict effectively and in accordance with privacy and legal requirements.

NON-COMPLIANCE

Failure to disclose a conflict of interest, failure to follow an approved conflict-management measure, or misuse of a position for personal benefit may result in appropriate corrective or disciplinary action, subject to applicable RSVC policies, bylaws, Volleyball BC requirements, and the circumstances of the matter.

POLICY REVIEW

This policy will be reviewed regularly and updated as needed to reflect best practices and any changes to club operations or governance requirements.
